How to Use Zoom Cloud Meetings Effectively

Other than Zoom Cloud Meeting, you can use other video conferencing platforms like Google Hangouts, Skype and WeChat Video Conference.  Zoom is the most popular because it is free and is easy to use, especially on the phone.  Here's how you can use Zoom effectively:
  1. Use a laptop, not your phone or tablet, especially when you are hosting a meeting.  On a laptop, you can see everything: the PowerPoint screen that you are sharing, video of all participants and the group chats.  You can easily type on a laptop and this is useful when you are translating or doing detailed explanations.  
  2. The host of the zoom meeting should mute everyone at the settings and only unmute them when they speak.  Participants can indicate that they want to speak by raising their hands before speaking
  3. Use earpiece or headsets or wireless earbuds so that you have a better concentration of the voices in the meeting and not be disturbed by the surrounding noises.  For the host, it is compulsory to use a headset or earpiece that has a built-in microphone. 
  4. Meeting start time and meeting enter time should be stated clearly.  Meeting enter time should be at least 5 to 15 minutes earlier than meeting start time, especially when you have more than 10 participants.  When people join a meeting, the host should welcome them and gently remind them of the 5 things to do as stated in this blog
  5. Above all, a zoom cloud video conference or meeting is just like a physical meeting, where the most important element is not the meeting itself but the emotions of the participants. The host should connect with everyone and also pre-assign some participants to help him in the zoom group chat, interactions and gentle reminders when there are technical hiccups. 
Whether you are new or old to Zoom, you need to use Zoom effectively.  If not, you cannot conduct any meetings now as people cannot come out of their house.  Even after this COVID-19 Lockdown, people still prefer Zoom to physical meetings because Zoom offers flexibility and control that physical meetings do not.
